Position Summary

The Office Administrator is responsible for providing support to the MWG management team and ensuring organizational effectiveness and efficiency in the Coeur d’ Alene, Idaho office.

Essential Functions

  • Assist accounting department with local accounting needs as requested.
  • Develop, distribute and maintain contracts as identified by field staff. Maintain insurance compliance for all contracts.
  • Review and verify correctness of invoices prior to passing along to MWG management team for approval.
  • Routes incoming calls and messages when necessary
  • Performs as first point of contact for public; interaction with customer representatives
  • Creates any needed data in the form of letters, memorandums, or reports
  • Maintain office efficiency; maintain and replenish inventory, check stock to determine inventory levels, anticipate needed supplies and verify receipt of supply
  • Control correspondences; process/distribute daily mail both incoming and outgoing
  • Maintain office records; ensure effective transfer of files and records to storage according to retention schedules and policies
  • Manage operation and maintenance of office equipment and communicate with service contractors as needed
  • Handle catering needs for meetings, tours utilizing most cost-effective means
  • Make travel arrangements, plane, rental cars and hotel accommodations for staff and visitors
  • Coordinate deliveries and shipments
  • Perform other related duties as required

Education, Experience, and Skills Required

  • High School graduate with business/clerical training and knowledge of office administration
  • Effective written, verbal and listening communication skills
  • Strong interpersonal skills and effective organizational and time management skills; ability to handle several responsibilities simultaneously
  • Attention to detail and high level of accuracy; ability to maintain a high level of accuracy in preparing and entering information
  • Computer skills including the spreadsheet and word-processing programs, and e-mail at a highly proficient level
  • Must be honest and trustworthy, be respectful, be flexible, and demonstrate sound work ethics as well as be a team player
